Job Description

The Associate Producer supports the programs produced and presented by the Office of Arts + Cultural Programming (ACP) at Montclair State University with emphasis on its acclaimed performing arts series, Peak Performances and co-curricular initiatives connected with it.

MAJOR DUTIES AND RESPONSIBILITIES:

•    Manages ACP’s obligations with artists, technicians, creative personnel and companies pertaining to hotel, transportation, residency activities and artist hospitality.
•    Book travel and hotel itineraries for ACP visiting artists, technicians and creative personnel and account for those expenses based on authorization of Executive Producer.
•    Support annual RFP and bid processes for performance fees, lodging and transportation related expenses as per University policy as directed by Executive Producer.
•    Draft artist and company agreements based on terms and conditions set by Executive Producer including all addenda provided by ACP staff
•    Manage, draft and submit NIV Visa Petitions for international artists and technicians; track progress including expenses as directed by Executive Producer. Organize and maintain all associated materials and documents, including copies of individual passport visas.
•    Create, maintain and distribute artist company information, residency and production schedules for ACP projects, events and performances.
•    Act as ACP “company manager” with artists and/or companies during all production, residency and performance periods
•    Support ACP’s Cultural Engagement and Media and Marketing departments as well as other cultivation activities including but not restricted to the coordination of logistics, travel, and catering.
•    Performs other duties as assigned by Executive Producer
•    Management retains the right to add or change job duties at any time
 

Qualifications & Requirements

Required:
•    Minimum of five (5) years of experience with an institution or company in the production or presentation of dance, theater, music, opera or performance art performances
•    Ability to manage and synthesize multiple projects simultaneously
•    Proven communications skills
•    Open personality
•    Pro-active problem-solving skills
•    Flexible schedule, night and evening work in accordance with ACP production and event schedule
•    Broad computer experience – MSOffice Suite, Google Docs, etc
•    College degree – BA minimum

Preferred:
•    Financial management experience
•    Previous work in a university setting
